In the market there are a lot of apps that helps you to do digital archiving; some with artificial intelligence functions, which means all you have to do is to take pictures of the invoice/receipt/bills & the AI will help to sort our all the info on the documents to relevant accounting related info such as invoice number, supplier name, date, total amount, tax amount etc.
We offer these solutions to our clients, with no additional costs to them. Hence all they do is to take pictures of these documents & we will do all the heavy lifting.
But does that mean after taking the pictures we can throw away these documents? Unfortunately this is not the case, as our tax law requires all documents to be kept for at least 7 years. Whether you like it or not, that’s the law.
Before you can do filing there is another step, which sorting of the documents. How you need to sort these documents is depending on how you want to do the filing. Some prefer to file accroding to payment date, some would file according to payment voucher number & some according to supplier name & many more pattern/style (just like learning KUNGFU) I will share the differences of these styles.
